We have been working hard to provide a normal level of service to our customers but with the ever changing developments of COVID-19 we have to make adjustments to our services for the safety of both customers and staff.

Overview

The Consular Section of the British Embassy Kyiv can provide a very limited range of notarial services for British nationals in Ukraine.

Where local notaries can provide services, the British Embassy will not provide them. In many cases, local notaries or lawyers can provide services more cheaply, quickly and conveniently.

You must make an appointment for each service that requires your personal attendance by using the links after each service provided below.

Before appointment booking, make sure that the document will be accepted by the relevant authority. This could be the local registration authorities, immigration office or another authority either in Ukraine, the UK or a third country. Only they can confirm which service you will require. This information cannot be verified by the Consular Section of British Embassy Kyiv.

Services we provide in Ukraine

Consular staff in Ukraine can:

  • make a certified copy of a certain UK-issued document
  • administer an oath, affirmation or affidavit
  • witness a signature
  • unite document
  • prepare a document in English or the local language

The Consular Section of the British embassy will provide these services for private individuals only where there is a direct connection to the UK and where we assess that we have competence to perform the service. We reserve the right to decline services where these conditions are not met.

What to bring to your appointment

See the individual services below for details of supporting documents to bring. Make sure you have acceptable proof of address and identity, and payment for any fees.

Payment

We accept payment by Visa, MasterCard, Maestro or in cash in local currency (UAH) on the day of the appointment. See the full list of consular fees.

Please note that refunds will not be given for certificates or notarial services that are not accepted by the requesting authority.

Proof of address and identity

For all appointments for notarial services you will need to bring acceptable proof of your identity and address:

  • your passport or national identity card
  • local residence card, or utility bill/bank statement, or any other confirmation of your current address.

Make a certified copy of a document

This service is for British nationals who need certified photocopies of the following documents:

  • British passports
  • British driving licences
  • British divorce decrees
  • UK educational documents, issued in the UK by a recognised institution.

Please note that if you would like a certified copy so that it can be legalised in the UK you will need to get a copy certified by a UK notary public or solicitor.

We will not provide certified photocopies of:

  • British marriage, birth and death certificates. You should apply to the General Register Office for copies of these documents
  • non-UK documents including ID documents, passports and driving licences

Once you have booked an appointment request, you will receive an email from us requesting a scan of the document(s) in question to ensure that we can conduct this service. We will only then confirm the appointment.

Please be aware that if you attend the consulate without emailing beforehand, your appointment will not be confirmed and we cannot guarantee that we can perform the service requested.

Book an appointment for certified copies in British Embassy Kyiv

Administer an oath, affirmation or affidavit

This service is for people who need to swear an oath, make an affirmation or make an affidavit in front of a consular officer.

This service can be offered for private individuals, not for the purpose to confirm their identity, and where local notaries or lawyers cannot provide services. Customers should provide written confirmation from the requesting authority that this document is required to be done by the Embassy. Only then will we consider your application for notarial services.

The Consular Section will not draft documents for you. Note that the document should be written or printed on both sides of the paper and with no blank sheets, and contents are to be divided into numbered paragraphs. Check with the Consular Section what format they need and then have the document drawn up or checked by a professional.

Once you have booked an appointment request, you will receive an email from us requesting a scan of the document(s) in question, as well as the written evidence mentioned above, to ensure that we can conduct this service. We will only then confirm the appointment.

Witness a signature

This service is for customers who need to sign a document and have their signature witnessed by a consular officer. This service can be offered for private individuals, not for the purpose to confirm their identity. Customers should provide written confirmation from the requesting authority that this document is required to be done by the Embassy. Only then will we consider your application for notarial services.

We do not handle powers of attorney, wills or probate, or witness deed polls.

The document must be prepared before your appointment as we will not draft documents for you. Please do not sign the document before your visit.

Unite documents

This service joins documents together using ribbon and a seal and is usually only needed for legal reasons.

Once you have booked an appointment request, you will receive an email from us requesting a scan of the document(s) in question to ensure that we can conduct this service. We will only then confirm the appointment.

Prepare a document in English or the local language

In a limited number of cases consular staff can write a statement of fact (‘preparing a certificate’) to help British nationals with various local authorities. The wording must be cleared with the Foreign, Commonwealth and Development Office in London, which means these documents will take longer to prepare.

We can only provide this service if we have proof that the wording/content you require is correct and unambiguous. This service is provided at the discretion of consular staff and we can refuse to provide it. Please contact the Consular Section before making an appointment.

Customers should provide written confirmation from the requesting authority that this document is required to be done by the Embassy. Only then will we consider your application for notarial services. Please note that we cannot provide this service neither for confirming identity, nor for confirming UK residency.

We can prepare these documents in English or in the local language.

Information notes

The British Embassy cannot issue certificates to confirm change of name or residency in the UK. Alternatively, you can download the following information notes to present to local authorities if requested for registration procedures in Ukraine. These notes cannot be personalised.

Services provided by other authorities

Legalise a UK document

The Ukrainian authorities may ask you to get a UK document legalised or ‘apostilled’. Legalisation is the official confirmation that a signature, seal or stamp on an official document is genuine. It does not certify the authenticity of a document or give approval of its content. UK documents can be legalised by the [Legalisation Office] (https://www.gov.uk/get-document-legalised) in the UK.

Data protection

The Foreign, Commonwealth and Development Office holds and uses data for purposes notified to the Information Commissioner under the Data Protection Act 1998. Such personal data may be disclosed to other UK government departments and public authorities.
